Your new role
As the Administration Assistant, you will provide broad administrative and operational support to a busy accounting practice. This is a varied role that combines office administration, client services, workflow coordination, billing support and corporate compliance responsibilities.
Your responsibilities will include:
- Managing reception, phones, mail and appointment scheduling
- Maintaining accurate client records and document management systems
- Preparing engagement letters, proposals, reports and client correspondence
- Supporting billing, invoicing, accounts receivable and debtor follow-up activities
- Assisting with workflow management, lodgement tracking and reporting
- Liaising with the ATO regarding client matters
- Coordinating daily timesheet submissions and administration
- Managing ASIC compliance requirements, including annual statements, lodgements, company changes and resolutions
- Supporting client onboarding, offboarding and new entity establishment
- Monitoring shared inboxes and calendars
- Identifying opportunities to improve processes, efficiency and client experience
- Previous experience within an accounting, professional services or similar office environment
- Experience managing ASIC compliance, ATO processes and client administration
- Strong organisational skills with the ability to manage competing priorities and deadlines
- Excellent written and verbal communication skills
- High attention to detail and commitment to accuracy
- Proficiency across Microsoft Office and accounting-related systems including MYOB, Xero and ATOmate
